Cleaning Email by Size
Have you received this warning "your account size is over its limit." This warning is put in place so that the email servers don't become bogged down with storing too much email.
What are my limits?
There are three different types of space limits for IU Kokomo email accounts.
20 megabytes (20,000K) - limit warning message
25 megabytes (25,000K) - your account will be unable to send messages
30 megabytes (30,000K) - your account will be unable to send or receive messages
How can I see how my space I am using?
To see how much space your account is using, you will need to be on a machine that uses the Microsoft Outlook program. (unfortunately this does not work with the web access version)
1. From within Outlook, go to View, Go To, then select Outlook Today.
2. Next, go to File, go to Folder, then select Properties for "Outlook Today"
3. Last, select Folder Size (the bottom left button on the Folder Size window).
From the folder size window you can see the size of your total email account.
What can I do to clean up large e-mails?
Aside from the normal, manual way of cleaning out emails that you no longer need, Microsoft Outlook includes a tool that allows you to find messages according to their size.
- Hold down Control + Shift + F. This opens the Advanced Find menu.
- In the Look for box, click Messages (it may already be selected for you)
- Select the More Choices tab and then use the drop down box to select "greater than"
- Type in a number representing the number of kilobytes for a message size (200 is usually a good start)
- Click Find Now.
A result of the emails that Outlook found that were over 200 kilobytes in size will be shown to you. If you don't see any, but still have a large account size, try lowering the message size from 200 to something lower.
From this results window you can open emails to see what they are (double click on them to open) or delete them by selecting and then hitting the delete key.
