Academic Calendar of Due Dates
All faculty members are bound by the Indiana University Academic Handbook (available at http://www.indiana.edu/~deanfac/acadhbk/) as well as the IU Kokomo Faculty Handbook. In addition, the Indiana University Faculty Council has a number of policies that affect faculty members and they are found at http://www.indiana.edu/~ufc/policies.shtml. Also, the web pages of the Office of Academic Affairs offer forms, policies and guidelines.

During the summer
Early May – Those going up for Promotion and/or Tenure must have the names and addresses of six outside reviewers to their unit head. University Faculty Council has draft guidelines on who is eligible to serve as an outside reviewer when submitting names (see http://www.indiana.edu/~ufc/policies.shtml). The unit head will also pick six outside reviewers following the same guidelines. Candidates are expected to have at least four outside letters in total.
July 1st (at the latest – earlier usually is better) – The packets of materials put together by the candidates for Promotion and/or Tenure are mailed out to outside reviewers. The outside reviews are due back September 1st.
Fall semester
Two weeks before the semester starts – post syllabus on OnCourse
Early August – begin monthly new faculty orientation – continues throughout the year
August 1st – Early Bird Applied Learning Grant applications due for any project in the fall semester
Week before semester begins – New Student Convocation
Week before semester begins – Campus Convocation – usually the same day as Student Convocation
Week before semester begins – Academic retreat – all deans, chairs, other administrators and all faculty are invited
Week before semester begins – Nursing Sophomore Induction
First week of classes – student ID dates (without an appointment M – Th, 10 -5 and Friday noon – 5)
First week of classes – Campus BBQ on Thursday
August – begin monthly new faculty orientation – continues throughout the year
August – new adjunct orientation
September 1st – Outside reviews for candidates for Promotion and/or Tenure are due back to the unit head
September 15th – Applied Learning Grant applications due – these grants are due on the 15th of every month
September 15th – Dean makes reappointment for 3rd year recommendations for second year faculty to the Vice Chancellor for Academic Affairs. Faculty informed in writing of the Dean’s decision
Fifth week of the semester (often about mid September) – early warning grades and roster verifications due
September 17th – Constitution Day – we are federally obligated to support this day
September 30th – Unit assessment reports are due to the Vice Chancellor for Academic Affairs’ office
Early October – Fall break
Early October – Center for Teaching, Learning and Assessment hosts Workshop on Promotion to Full Professor – all Associate Professors are invited to attend
October 1st – Promotion and/or Tenure Dossiers are due to the chair/dean and/or the unit committee as called for in the unit guidelines
October 1st through October 15th – many of the all IU award applications (e.g., Pinnell service, etc.) are due
October 5th – Polished dossiers and peer reviews due for FACET nominees
Mid October – In Arts and Sciences, the Chair makes a tenure recommendation to the Dean. Faculty members are informed of the Chair's decision in writing.
October 15th – Early Bird Applied Learning Grant applications due for any project in the spring semester
October 15th – Grant-in-aid applications due for the spring semester
October 15th – Summer Faculty Fellowship applications due
October 15th – Sabbatical Leave Request applications due
October 15th – Sabbatical-Like Leave Request applications due
October 15th – Faculty Research Excellence Award applications due
October 15th – Nominations for the Virgil Hunt Service award are due to the Human Resources office. Once nominated, a faculty member will then need to complete a form and provide supporting materials – these are due December 10th
October 15th – Third Year Review process completed at the Unit Level and the form stating that the process has been completed is submitted to the VCAA’s office by October 20th (units need to set earlier deadlines for submission of dossiers and the committee process)
October 15th – Applied Learning Grant applications due – these grants are due on the 15th of every month
Mid October – VIP Day on campus with high school students
October 19th – IU Kokomo FACET selection committee will provide feedback to the candidate
Tenth week of the semester (often about mid to late October) – early warning grades and roster verifications due
November 1st – Promotion and Tenure decisions due from Dean to the Vice Chancellor of Academic Affairs (units need to set earlier deadlines for submission of dossiers, unit committee deadlines and deadlines for chair recommendations – if applicable)
November 1 – Early scholars program scholarship admissions deadline
November 2nd – Vice Chancellor for Academic Affairs forwards P & T dossiers to the campus Promotion and Tenure committee
Early November – Center for Teaching, Learning and Assessment hosts Workshop on Promotion and/or Tenure – all Assistant Professors, Lecturers and Clinical rank faculty members are invited to attend
Early November – Project Linus takes place
November 9th – FACET nominees can resubmit their revised dossiers
November 15th - Third Year Review process completed at the campus level and the form stating that the process has been completed is submitted to the VCAA’s office by November 20th
November 15th – Applied Learning Grant applications due – these grants are due on the 15th of every month
Mid November – AIM day on campus with high school student
December 1st – IU Kokomo FACET selection committee will make final determination on candidate’s application package
December 10th – those nominated for the Virgil Hunt Service Award (back in October) must have their packets turned in by this date
Finals week – Nursing Recognition Ceremony
December 7th – Campus Promotion and Tenure committee’s decision due. Faculty informed in writing
December 10th – Nominees for Virgil Hunt Service Award - Form and supporting materials are due to Human Resources
December 15th – Dean makes reappointment 2nd year recommendation for first year faculty to Vice Chancellor for Academic Affairs. Faculty informed in writing of the Dean’s decision
December 15th – Applied Learning Grant applications due – these grants are due on the 15th of every month
Mid December – URSI (Undergraduate Research Summer Institute) proposals due
Mid December – Sophomore Research project proposals due
Mid December – Vice Chancellor for Academic Affair’s decisions on Promotion and Tenure are due to the Chancellor. Faculty members are informed in writing.
Mid December – Grades are due on the Monday after finals week
Spring Semester

January 15th – Applied Learning Grant applications due – these grants are due on the 15th of every month
February 1st – Diversity Award nominations due – the faculty nominated will have until March 1st to complete their packet
February 15th – Faculty Annual Service Report (FAR) due – this is done electronically
February 15th – Grant-in-aid applications due for the summer semester
February 15th – Applied Learning Grant applications due – these grants are due on the 15th of every month
Fifth week of the semester (often about end of February) – early warning grades and roster verifications due
March 1st – Diversity Award applications due
March 1st – Scholarship admission deadline
Early March - textbook orders for fall are due to the bookstore
March 5th – Dean makes reappointment recommendations for non-tenured faculty in their 3rd and subsequent years to the Vice Chancellor for Academic Affairs. Faculty are informed of the Dean’s decision in writing
March 15th – Dean makes reappointment recommendations for non-tenure track faculty (lecturers, senior lecturers, rolling contracts, etc.) to the Vice Chancellor for Academic Affairs. Faculty are informed in the Dean’s decision in writing
March 15th – Applied Learning Grant applications due – these grants are due on the 15th of every month
Mid March – FACET selections at the statewide level are announced
Tenth week of the semester (often about late March) – early warning grades and roster verifications due
March 31st – Unit assessment plans due to the Vice Chancellor for Academic Affairs’ office
April 1st - Trustees Teaching Applications/recommendations due to campus committee (units need to set earlier deadlines and policies for submission of applications, unit selection committee composition, etc.)
April 1st – Claude Rich Teaching Award applications due
April 1st – unit names for serving on the campus wide Trustees Teaching Award committee due
April 1st – Merit evaluations are due to the Vice Chancellor for Academic Affairs
April 15th – Grant-in-aid applications due for the fall semester
Early April – Center for Teaching, Learning and Assessment hosts Workshop on Getting Ready for Your Third Year Review for candidates in their second and third years of teaching
Early April – PA Mack Award application due
Mid April – Potential FACET candidates must indicate their interest in applying for FACET during the subsequent fall semester – there is a nomination form that MUST be completed by someone other than the nominee
April 15th – Applied Learning Grant applications due – these grants are due on the 15th of every month
Late April – Center for Teaching, Learning and Assessment hosts Workshop on Preparing Your Promotion and/or Tenure Dossier for candidates who are assembling their dossiers for fall submission – exact dates will be dependent on candidates’ schedules
Before or by the end of the last unit meeting before the end of the semester – those who are going up for Tenure and/or Promotion must indicate that to the faculty in their unit
Tuesday before finals week – Take Back the Night
May 1st – Faculty are notified in writing of final tenure decision
Finals week – Nursing Recognition Ceremony
Mid May – Grades are due on the Monday after finals week
Monday after finals week – Honors Day and hooding ceremony for graduate students
Tuesday after finals week – Graduation
Mid May – faculty Senate Committee reports are due to the Faculty Senate Secretary
Summer Session 1 (classes start on Monday after graduation – beginning summer 2012)
