Academic Council Minutes

June 24, 2004

Present: Haffley, Green, T. Sehr, Cass, L. Henry, Stroman, Aniskiewicz, Sciame-Giesecke, Hakes
Guest: Hamilton, Parkison

  1. Hamilton reported that enrollment in Summer II 2004 is down from last year. That also means we did not make budget. Starting in the Fall, 2004 semester, class rosters must be electronically accessed and printed by the instructors or a department designee. They will not be sent to faculty by the registrar. Class rosters can be accessed without the use of a safeword card through OnCourse, One Start, or IUIE report. An e-mail will be sent to the faculty explaining how to access the class roster and how to report the grades. Faculty or a designee will electronically input the grade, and after the faculty member approves the grades, they will be posted by the registrar. There are three levels of access to grades: approve, grade, and post. Students must also electronically access the grades. Grade reports will no longer be mailed to students.
  2. New degree proposals will be considered only in October for programs requiring funding and March for programs that do not require additional funds. This means that any new program requiring additional funding must be approved at all other levels by the end of the Spring semester of the previous year.
  3. Freshman orientation is not working as well as it should. Many students are not establishing ADS accounts or don't remember their passwords and this has resulted in long lines and frustrated students. A discussion is underway about how to solve this problem. The orientation part of the day will take place during the morning for the July 13, August 10 & 12 orientations with the processes of establishing ADS accounts, advising, registration, ID cards, etc. taking place in the afternoon in the schools. This means the advisors will need the assistance of the chairs, and possibly other staff to facilitate the process. It also will be necessary to coordinate when the students are sent to get ADS accounts, student ID's, and register so all of the students do not try to do the same thing at one time.
  4. At the next meeting we will develop three goals for Academic Council to accomplish next year. We will start with your department's goals and establish a common set of three goals from the individual department's goals.
