As of Fall 2001, students, faculty, and staff will need an ADS account to logon to the computers at IU Kokomo, access e-mail, and use Oncourse for classes.
If staff or faculty members have any problems with their ADS account, they need to contact the Helpdesk, extension 315, or come to the Helpdesk during regular business hours (from 8 a.m. to 5 p.m.) for help.
If students have any problems applying for an ADS account, they will need to come to the information commons in the library. A picture ID is required for identification.
Office System Administrative (Admin) User Rights Policy
Faculty and professional staff can apply for Administrative User Rights for their office system only. To pick up an application form, visit the library's information commons.
The form must be filled out by the user and requires signatures from the department head and the vice chancellor for the department and must be approved by the Vice Chancellor for Information Technology.
Data Backup and Restoration Policy
Data backups provided by IU Kokomo Information Technology as of November 5, 2003, reside on one server with an externally attached tape storage drive. Data on the IU Kokomo campus' file storage service(s) will be backed up differentially (changed or modified files from the last full backup) each night. Every weekend a full backup will be run on all servers for a complete set of data. Once a month a weekly data set will be taken and placed in a safe located in a separate building on campus. A backup is a snapshot in time of the data present on the system at the time the backup runs. Based on this, it is still possible for a user to create and delete a file during the course of a day which will never appear on a backup. Backups of user files are retained only for 30 days, therefore, IT can retrieve data for up to 30 consecutive days before the date of request. Users are urged to back up any critical information themselves for archival purposes or long-term storage off-line. The Massive Data Storage System (MDSS) can also be used for long-term archival storage.

The lost file(s), path(s), and name(s) are necessary to help backup operators properly restore data.
File Storage Policy
This policy, effective February 11, 2004, governs the local network file storage on the IU Kokomo campus. There is also file storage available through centrally maintained IU systems (MDSS and CFS). The local network file storage is supplemented by the MDSS and CFS as each storage system has a separate function and purpose.
Who Can Use Local Network Storage?
All IU Kokomo personnel (faculty, staff, hourly) are permitted use of the local network storage services. Students are permitted to have storage space if it is utilized for a student organization or student employment in an on-campus department or office. IT must receive approval from the organization's sponsor or the student employee's supervisor before receiving access to network storage.
What Can Be Stored?
Data storage on the IU Kokomo File Server is currently used for three purposes
IU Kokomo related work,
class work,
departmental files to be shared among members of a department and collaborative areas for special projects.
Quotas: Users who exceed their storage quotas will receive an e-mail from IT asking them to clean up their network storage area. Users will still be able to save data and move data from their network storage area to another location to free up storage space. No files will be deleted by the Department of Information Technology.
Network data storage is intended for critical data access from multiple locations on campus; it is not intended to archive large amounts of non-critical or personal data. If you have files that are required for archival use you should use the Massive Data Storage System service or offline media such as CD-ROMs or Zip Disks. Faculty and staff members will have access to 500 MB of network data storage. In the event that extraordinary individual circumstances (as determined by Information Technologies and the area Vice Chancellor) suggest that a faculty or staff member requires additional network storage space in order to perform his/her professional responsibilities, a supplemental data storage solution will be proposed, which may include increasing an individual's storage quota or establishing data storage access on a separate server.

Data Security
To address data security concerns, the local network file storage service runs on a server that has been configured and updated for the maximum security possible, while still being able to provide an efficient and reliable service to the campus.
In addition, members of the Department of Information Technology professional staff who maintain the storage services only access the file server as necessary per their responsibilities.
The IT professional staff members are bound by IU policies and professional ethics to keep all data secure and confidential.

Network Storage Systems in the IU System
Local File Storage
Campus file storage is provided by IT. Files stored on this service can be accessed on campus by using a mapped drive. Files can also be accessed off campus after creating a VPN connection. (See http://kb.indiana.edu/data/akko.html for more information on creating a VPN connection using Windows XP.) It is recommended that you have a high-speed Internet connection when accessing your network storage from off-campus. Storage quotas on this system are limited to 500 MB.
The MDSS, or Massive Data Storage System, is a centrally maintained IU storage system and is for file archival or storage space requirements for large projects, databases, and the like. Storage quotas on this system vary according to need, but start at 500 GB.
Security
Virus Policy
The Department of IT has installed virus definitions on the network servers to run 24 hours a day, seven days a week. Every Monday through Wednesday, users must log off of their systems and leave the system powered on so the new updates will be automatically installed in the user's system. Note: Exceptions to this policy are laptops and stand-alone systems.
Accessing an Employee's E-mail
If it is necessary for any reason to access an employee's e-mail account, we need a letter signed by the director of the department, on department letterhead, faxed to 855-0354. Once the letter is received by fax, the Department of Information Technology will coordinate this access.
Any IU Kokomo faculty or staff who is 50% or more FTE appointed qualify to have their system replaced every three years on the Desktop Replacement cycle.
Department of IT Third Tier System Policy
All requests for third tier systems must be made through IT. The request is then submitted to the IU Kokomo Cabinet for approval. The department will be charged a fee for the third tier system. Once the request has been approved, the Department of IT will set up the system. All future charges for upgrading the system will be the responsibility of the department.
Printer Policy
Digital Copier/Printers
The IU Kokomo campus has provided several digital copier/printers around campus for faculty and staff use. Each department is responsible for the cost of using the copier/printer. However, the departments still have the option to use the duplicating services from the mailroom for cost effectiveness.
Network Printers Network printers are set up for each departments on campus. The departments are responsible for buying the toner and paper to use these printers for their areas. The Department of Information Technology will support these printers for problems, repairing, or replacing as the need arises.
Local Printers Any local printers that were previously installed by the Information Technologies will stay in the faculty or staff office until the employee leaves or the printer no longer functions. When one of these events occur, IT will acquire the local printer. Local printers are not transferable to anyone else.
Printers from Home At no time should any personal printer be attached to any Desktop Replacement system.
Policy for Departments Buying Computer Equipment
Any department that purchases its own new computer system(s), must have the old systems approved by the Vice Chancellor of IT to be used as 3rd tier systems.
Operating Systems and Software
Computer Labs and Computer Classrooms: Desktop Customization and File Storage Policy
Faculty, staff, and students should not customize the desktops or make changes to any of the computer systems located in the computer classrooms or computer labs. To prevent any loss of data, personal files should not be saved on the hard drives of these systems. The Department of IT routinely updates the computer images on these machines whenever a new software request has been submitted, or in the event of hardware/software failure.
IT will only install licensed software. It is the responsibility of the requesting department to purchase any non-standard software and license.
Shareware Policy
The IU Kokomo policy for shareware is that you can only download a copy of the software for a 30-day evaluation copy (or whatever time limit the software indicates), then if the user or department wishes to continue to use the software, they must purchase a license to have it installed on their system.
